Practice software compared / IDEXX Neo

IDEXX Neo is cloud-based practice management software from IDEXX Laboratories, launched in 2016. It runs in a web browser on a computer or tablet, so there’s no server to buy, and IDEXX pitches it as its simple, lightweight option. Neo covers scheduling, patient records with procedure templates, a boarding module, inventory and reporting, and it orders IDEXX and Antech lab work with the results landing in the record.

Much of the pet owner side is built in. Neo has its own client portal: you paste a code snippet into your clinic’s website, and clients can view their pets’ records and book appointments online during the hours you set. Neo also sends text and email reminders, emails consent forms, and takes card and online payments through IDEXX Payments. Two-way texting and a pet owner app come from Vello, a separate IDEXX product at $249 a month. Vetstoria, PetDesk, Weave and Otto also connect.

What to ask IDEXX

  • IDEXX doesn’t publish a Neo price. Ask for the monthly base price, what each user after the first three costs, and what each extra location adds.
  • IDEXX’s pages disagree on whether IDEXX Payments is included or an add-on subscription, and IDEXX only says its fees are similar to what clinics pay today. Ask whether payments cost extra and for the actual rates.
  • If you want two-way texting or an app, add Vello’s $249 a month, or price a partner like Weave or PetDesk.
  • IDEXX converts your data from your current system but doesn’t say what that costs or which systems it supports. Ask both.
  • AI Assisted Notes is free while it’s in beta. Ask what it will cost after that.

Is there a cloud version?

Neo is cloud software only. It runs in a web browser on Mac, PC, iOS or Android devices, IDEXX hosts it on Amazon Web Services and backs it up automatically, and no server is needed. We found no installed version. Because it needs the internet, IDEXX suggests keeping one or two devices, such as tablets on a wireless data plan, as a backup if the clinic's connection goes down.source

Labs and diagnostics

IDEXX diagnostics are the deepest link: with a VetConnect PLUS account, Neo orders IDEXX reference lab and in-house analyzer tests and receives the results in the record, with charges captured. Antech, Zoetis (reference lab and point-of-care) and Vetek Labs also connect for ordering and results; each needs its own lab account. Imaging runs through IDEXX Web PACS, a separate subscription for each branch, with a DICOM capture station.source

Moving your data

IDEXX's data conversion team moves your records from your previous system. A Data Conversion Specialist contacts you within two business days of ordering; you review an initial conversion and set up Neo, then a final conversion takes about three days, and anything entered in the old system during it has to be re-keyed into Neo. IDEXX also has a Fresh Start plan for practices that don't convert. No conversion cost or list of supported source systems is published.source

Support and training

Live support by phone, email or chat is included in the subscription, Monday to Friday, 6:30 a.m. to 8 p.m. Central, and IDEXX says calls are answered in under a minute. Training is self-paced inside Neo: a quick-start guide, Neo University courses and Help Me walkthroughs, videos and recorded webinars, plus regular educational webinars. IDEXX's plan gives owners and managers about three days for their training and staff about three more.source
