Practice management software (often called a PIMS) runs the clinic: appointments, medical records, invoicing, inventory and reminders. What pet owners actually see, booking online, getting a reminder text, filling in a form or paying a bill, happens on your website and their phone. So we compared these systems on two things: the basics every clinic asks about, and how each one connects to the website.

How to choose practice management software

Five questions settle most of the decision.

Cloud or installed

A cloud system runs in a web browser and the vendor handles servers, backups and updates. An installed (server) system runs on computers in your clinic, so you or your IT provider look after them. Most new systems are cloud only; several long-standing ones offer both.

Ask how it connects to your website

Pet owners book, fill in forms and pay on your website or phone, not inside your practice software. Check whether online booking, reminders, texting and payments are built in or come from a partner such as PetDesk or Vetstoria, and whether that partner gives you a booking link or widget for your own site. The matrix below shows what each vendor and partner says publicly.

Pricing is often a conversation

Some vendors post prices; many ask you to book a demo. Ask for the full monthly cost per location or per user, setup and data conversion fees, and the price of each add-on, including the client communication tools you'll need.

Moving your records

Switching systems means moving years of medical records, client histories and reminders. Ask what the vendor converts from your current system, what it costs, and how long the old system stays readable.

Labs, imaging and the rest of your stack

Most clinics need their practice software to talk to in-house analyzers, reference labs, imaging and payment processing. List the equipment and services you already use and ask for each integration by name.

  • Every fact comes from a public web page: the vendor's own product, pricing, integration or help pages, or a partner's own page naming the system. Each one links to its source.
  • We didn't book demos, start trials, sign up or contact vendors. Review sites aren't used as sources.
  • If we couldn't find something on a public page, it says "Not published". We don't guess.
  • Pricing and features are rechecked every quarter; ownership every year. The dates above show when the pages were last read.
